Ticketing for Property Management
Manage maintenance, repairs and everyday property management tasks more efficiently, with everything your team needs to track, action and manage work in one place.
Blocks Online Ticketing reduces manual administration, keeps your team organised and gives everyone visibility of what has been done, what needs attention and what happens next.

Save time managing everyday property tasks
The Blocks Online Ticketing module gives property managers one place to manage the tasks and activities involved in running their blocks, from leaseholder-reported issues and routine maintenance to building works and other property management activities.
Tickets can be assigned, prioritised and tracked, with comments, documents, photos and actions recorded against them. Your team spends less time chasing information, checking emails and maintaining separate records, and more time getting the work done.
Who is it for
Property managers, block management companies and managing agents managing maintenance, repairs, building works and day-to-day activities across residential blocks and estates.Where it sits
An optional module connected to the core Blocks Online Block Management software and integrated with the Property Portal. What it replaces
Separate task lists and disconnected ways of tracking property management work.
How can managing agents manage maintenance and property tasks more efficiently?
Give your whole team a shared view of work across your portfolio, without relying on separate task lists, spreadsheets, emails or individual staff records.
Tickets can be used for everything from a repair reported by a leaseholder to health and safety investigations, company accounts or planned maintenance. The information, documents, updates and history stay together, making it quicker for anyone in the team to understand the current position and take the next action.
Tickets
A ticket is any task or activity being performed by a member of staff. This can be an issue reported by a leaseholder, a routine health and safety investigation, the production of company accounts or a planned piece of maintenance work.
Shared repository
All tickets are stored in the cloud so all members of staff have access to information. You no longer have to wait for people to return to the office to know what is happening.
Audit log
Comments added to tickets keep a log of all actions being taken. Each comment is stamped with the user’s details as well as a timestamp, so everyone is aware of who has done what, and when.
Attachments
Documents and photos can be attached to tickets to help clarify issues and provide more detailed explanation of works to be performed.
How can property managers save time managing their workload?
Give staff a clear view of what needs attention, who is responsible and when action is due, reducing the time spent checking, chasing and coordinating work manually.
Tickets can be allocated and reassigned as workloads change, while priorities, action dates, email updates and service level reporting help your team manage work efficiently and quickly identify anything that needs attention.

Diary management
Tickets provide staff with a clear list of work to be performed so that each day everyone knows what tasks are to be completed.
Ticket assignment
All tickets are assigned to a member of staff. Tickets can be re-assigned when, for example, work is shared between several people or to assist staff who may be busy or absent.
Email updates
When a ticket is updated, the block’s Property Manager, and the member of staff to whom the ticket is assigned, will receive an email update, so they are kept informed of everything that is happening.
Service level reporting
All tickets are categorised by type and are given a priority with an action date. It is clear what work needs to be done and when it should be performed. Service level reporting helps identify where there may be issues or works that are over-running.
How can managing agents keep leaseholders updated without creating more admin?
Ticketing integrates with the Blocks Online Property Portal, helping managing agents keep leaseholders informed while reducing the need for separate emails and manual updates.
When a leaseholder reports a problem through the Property Portal, a ticket is automatically created for the Property Manager to action. Relevant tickets and updates can then be published back to leaseholders, creating a more efficient flow of information between your team and the people living in the blocks you manage.
Publish tickets
Any ticket that is raised can be published to leaseholders, an effective way of keeping leaseholders updated on work being performed.
Portal integration
The Ticketing module is integrated with the Property Portal. When a user reports a problem, a ticket is automatically created, ready for action by the Property Manager. The Property Manager receives an email notification when the problem is reported.
Leaseholder emails
Leaseholders can set their personal preferences to receive email updates regarding tickets, either just for the tickets they have raised or for all tickets relating to their property. This can be particularly useful for RMC and RTM directors.
Ticketing connected to your block and leaseholder records
Ticketing works alongside the Blocks Online core Block Management module and Property Portal, keeping property management activity connected to the relevant block and leaseholder information.
Rather than managing tasks in one system and property information somewhere else, your team has a more joined-up way to manage the work involved in running each block.
